Booking Terms & Conditions

At Riverlin Accommodation, most guests have been very considerate in their use and care of the homes. However, we are still required to bring the following conditions of renting/short-term leasing the homes to your attention for your complete understanding. By renting/short-term leasing the homes you are agreeing to these terms and conditions.

Interpretation:

We, Us, Our, Riverlin, Riverlin Retreat - means The Property of 475 Woods Point Road, East Warburton and the accommodation on it., it's servants, staff and agents. Tenant, guest, holiday maker- you, - means the lessee of the defined holiday premises. By booking holiday/short-term accommodation with us and paying the rental deposit, you agree that you will be bound by, and personally responsible for the performance of your obligations under these conditions of letting.

To Make A Booking:

Direct bookings may be made through our website www.riverlinretreat.com or by phoning 0401757731. Email to riverlinretreat@gmail.com. Provisional bookings/Booking requests are held for 24 hours only pending receipt of payment. If no payment is received, cancellation of the pending booking will occur and re-open as available. The minimum stay is 2 nights or 3 nights for some long weekends. We reserve the right to cancel any online booking at any time.

Bookings can also be made online via Booking.com, Airbnb, Vrbo and Stayz

We can also be contacted 24 hours on 0401757731 during your stay should you have any questions about the houses & and their amenities. We request the accommodation be returned to us in the condition presented on arrival.

We kindly ask that you place all rubbish in the bins provided, including recyclables & and put used dishes in the dishwasher before you leave. Please leave wet towels in the bathroom and not on the beds.

Deposit:

General bookings require payment in full to secure the booking. For weddings and other events, to secure a reservation, a 50% deposit of the total tariff is required, within 24 hours of making a booking, unless an alternative payment arrangement is agreed upon. Should your deposit not be paid by this time, the booking will automatically be cancelled. Non-payment of the full 50% deposit will be deemed a cancellation of the booking.

 

Security Bond:

A bond is required for all events (Events deemed as Retreats, micro weddings, elopements, planned group parties/gatherings for a celebration) A Security Bond amount varies from $500 -$1,500 depending on the property and/or event. The security bond amount is to be paid ten working days (10)  prior to arrival. The security bond is refunded to you within ten (10) working days following an inspection and subject to the further conditions in this agreement, provided the premises are left in the same condition as at the start of the booking.

 

Holiday Rent:

In cases such that rent is not paid in full on booking, total rent must be paid 30 days prior to arrival. Non-payment of the balance of the deposit will be deemed a cancellation of the booking. Access details and keys will not be provided until the full rental costs for the booking have been paid. Bookings made within the 30 days prior to arrival, require full payment on booking.

 

Tariffs Changes:

Tariffs are subject to change without notice, this includes property upgrades, renovation, festival events, instructions from the owner, or genuinely misquoted accommodation tariffs.

 

Extending your stay:

Please contact us if wanting to extend your stay. Payment is taken upfront upon acceptance of the extension of your stay. For early and late check-in/check-out options, we prefer pre-bookings to allow confirmation with our cleaners and other staff, other guests booings etc. If late check-out is requested during your stay, it is subject to availability and is to be paid upfront so that cleaners schedules can be updated.

ARRIVING & LEAVING

CHECK-IN:  Strictly 2.00 pm onwards
CHECK-OUT:  Strictly 10.00 am to allow for staff to prepare for the following guests

  • The check-in & check-out times can be altered if pre-arranged with us and paid in advance. Please contact us if you would like an early check-in or late check-out.

  • Riverlin properties are rented solely for short-term holiday accommodation and may not be used for parties, functions or conducting business from the premises.

  • We request all keys to the house be kept in a safe place. The loss or non-return of a key will incur the full cost of replacing all locks and cutting off keys $20.00

 

Items left at the property:

If any items are left at the property after your stay there, you will be required to pay the postage fee as well as a $20 fee for packaging and staff time. All items will be mailed back to you upon request.

GENERAL T&C:

  • Rooms are strictly limited to the advertised maximum occupancy- 5 people for the Cottage, 12 for the Lodge and 16 for the Retreat

  • We suggest babies sleep within a porta-cot (supplied if needed) and be fed in a highchair for safety reasons

  • Max 2 vehicles per booking for the Cottage, 3 cars for the Lodge and 6 Cars for the Retreat

  • Bikes are very welcome but not in rooms or inside the building - alternate, secure, weather-protected storage is available.

        Please ask for storage directions

  • No smoking in or near rooms or balconies (min 10m away) - smoking in the garden area permitted. Please dispose of cold butts in the trash, not the garden. Any smoke damage within the premises will result in a $100 additional cleaning fee.

        Excessive/avoidable room or bed soiling will incur charges from extra cleaning to replacement costs.

  • Quiet time from 9 pm. The firepit and outdoor areas are to be vacated at 10 p.m. for the quiet enjoyment of rooms for all guests.​

SMOKE-FREE HOMES

  • Please do not smoke in the house. If you like to smoke, please do so outside with all windows & and doors closed. Please do NOT butt your cigarettes out on any part of the house as doing so is a potential fire hazard and please dispose of butts responsibly in bins provided once cooled. We are in a high-risk Bushfire area and for the safety of yourself and others, please be responsible.

PETS

  • Pets are permitted within the main living area of the house, however NOT in bedrooms, on the beds or carpeted areas/rugs.

 Any damages caused by pets will be the financial responsibility of the owner including any additional cleaning fees associated.

 An additional pet of $40 per booking is charged.

Cleaning / Complaint on arrival:

If on arrival your property has not been cleaned or other items need reporting, please contact  0401757731 immediately so we can instruct the cleaners to attend as soon as possible. We will not be held responsible for any delays by cleaning staff throughout busy holiday seasons. If maintenance is required, access must be granted at the first available opportunity during your stay to rectify the issue so we have the opportunity to resolve the problem. This may include furniture cleaning and access for tradespersons. Our policy is that all issues must be addressed first by our staff. No property relocation or refund is available.

Description of Property:

The description of the property is on the Internet. This description is given in good faith by us as owners/managers/property owners. We are careful not to misrepresent any rental property. We will not be held responsible for changes to and or items removed from the property after the time of your booking. The holiday property is furnished to the individual owners' taste and style and we take no responsibility for any unmet expectations of guests or any changes made by the owner to the décor, furnishings and equipment in the premises.

No refund is given if you are not satisfied with your accommodation. If for whatever reason you choose to depart prior to your departure date, we do not refund rental costs either in full or part thereof. All accommodation is fully furnished. Guests must accept premises “as booked” and cannot be relocated unless the full tariff is paid for another property.

Changes to the property grounds and/or surrounds, outside of our control, such as weather, erosion, council work and neighbouring renovations will not affect the quoted tariff. We cannot accept responsibility for any disturbance, noise, or inconvenience guests may experience. We will advise you of these changes prior to your stay where foreseen. The Agent/Owner/Manager expressly excludes any liability whatsoever for any misrepresentation, or misleading conduct or statements, howsoever caused, and whether negligent or otherwise.

 

Usage of Property:

The property is to be used for holiday accommodation, and small boutique wedding ceremonies only. The use of a property for a function, a party or any other like gathering is strictly prohibited. It is not to be used to hold a party, group gathering, or any other function including business or commercial use; unless agreed with the owner in advance, in writing. Should it come to our attention that a booking has been made, other than for accommodation purposes only or that the property is being used in a manner that is in breach of this clause, we reserve the right to cancel the booking at any time and evict the occupants. An additional charge will be incurred and payable up to and including $3000 should any type of function or gathering be held in the property as well a loss of $1,000 security bond will apply. Unfortunately, where damage has occurred, additional cleaning and/ or replacement costs will be charged. Neither the whole nor any part of the property shall be sub-let without permission.

Respect

Respect and preserve the residential amenity of the property. Refrain from engaging in any drunken, obscene or antisocial behaviour.

Number of Persons:

The number of guests must not exceed the number specified in the booking and failure to adhere to this will mean a charge of $100 per person per night and/or immediate cancellation of the booking with no refund. This will be deducted from the security bond.

 

Linen:

This includes bed linen (bed sheets, pillowslips), bath towels and tea towels - these are included in your stay. Any damaged to these items will be charged at the full replacement/cleaning cost.

 

Animals:

Pets are not allowed inside the home. There is a designated area undercover or within a fenced area. We do NOT allow cats.

 

Noise:

No noise or unacceptable behaviour to neighbours will be tolerated at any time. Noise means any sound that can be heard from neighbouring properties that disturbs their peace and quiet. All music must be turned off by 10 pm and care taken when you are outside. Disregarding to this will result in heavy fines imposed by Shire of Yarra Ranges. If Security personnel or the Police are called to a noise complaint a charge of $165 will be payable and you will be evicted immediately. If a booking is terminated in accordance with the provisions of this clause, no refund of rent or security deposit will be given, and you agree that any such rent or bond withheld is genuine compensation for loss occasioned by you.

Callout:

 If a staff member is called out (for example a noise complaint, or key issue) a $150 callout fee will be incurred by the tenant which is payable before the end of the tenancy. Callouts after 9.30 pm will incur a $250 call fee, this amount will be deducted from your bond.

 

Breaches:

Any breach of this agreement by you permits us to refuse access to the property, amend the rent of the premises or immediately terminate the tenancy at our sole discretion and all funds may be forfeited. If we believe that you are in breach of these conditions of letting, we may inspect the property at any time without notice.

 

Repairs to Appliance:

During your stay, the agent endeavours to have repairs to appliances attended to as soon as possible after being reported. However due to circumstances beyond our control [e.g. having to order parts or non-availability of trade’s people] immediate repair may not be possible. No responsibility is accepted by the agent or owner in such circumstances. There will be no refunds or discounts deducted from tariffs for unusable appliances awaiting repair. If repairs cannot be attended to promptly, we will use our best endeavours to supply a substitute appliance if possible.

Damages and Extra Cleaning:

The premises and grounds are to be left in a clean and tidy condition. Failure to do so will incur a charge for extra cleaning which will be deducted from your security bond. Extra cleaning will be charged and calculated on the number of hours required over and above the normal cleans. If BBQ is provided, must be cleaned thoroughly on departure or a cleaning fee of $50.00 will apply. All damages, breakages or losses to the property, furniture and furnishings are to be reported to the agent immediately and paid for by the tenant before the end of the tenancy. Should the tenant discover a breakage or default please advise the agent immediately other we will consider this to be a responsibility of the current tenant and you will be charged accordingly. Furniture must be in its original position on departure. If washing up, tidying, re-arranging furniture and removal of rubbish has not been done, fees for extra cleaning will apply. Should the amount of loss or damage exceed the amount of the security bond, we reserve the right to claim the full costs of reparation from you. Nothing in this agreement is to be taken to limit our rights to make this claim.

Garbage:

All garbage is to be placed in outside bins provided. Removal costs and tip fees will be deducted from the security bond if large amount of excess rubbish has been left by the tenant.

All holiday accommodation is NON-SMOKING INDOORS.

PREPARING FOR A WEDDING?

  • When a bride or groom and/or her or his party plan to stay at one of  Riverlin's Accommodation properties, we kindly ask you to remember that the other properties nearby are private residences and only designated areas may be used for parking. We kindly request you do not park on the lawn, please.

  • If you move furniture, could you kindly return it to its original placement and please take care so that floors and walls are not scratched or marked.

CANCELLATIONS

  • For DIRECT Bookings

    • Any booking cancelled due to government-restricted COVID-19 travel restrictions will not be charged.

    • Bookings cancelled 10 days before the start of the reservation will not be charged.

    • Bookings cancelled within 7 days of the start of the reservation date will be charged the full rate unless the cancelled nights are rebooked. If you cancel within 7 days of arrival the cancellation fee is equal to the peak ONE night in your booking. (e.g. the Saturday night rate). If you cancel within 72 hours then the value of your full booking (capped at 3 nights) applies

    • There is no refund for an early or unscheduled departure.

    • COVID: We strongly recommend travel insurance given that contracting COVID is a foreseeable cause of travel disruption. Unfortunately, we still have to enforce our cancellation policy if you can't travel within 3 days of arrival.

    • For bookings made through Vrbo, Stayz, Airbnb, Booking.com and other booking channels not mentioned, refer to the cancellation policies on each of the relevant websites.

    • If for whatever reason you are not satisfied or choose to depart prior to your departure date, we do not refund rental costs either in full or part thereof. No provision can or will be made for relocation if accommodation is deemed unsatisfactory on arrival other than on the basis that the full rental paid be forfeited and full rental on new premises is paid prior to occupancy. Guests cannot be relocated. We are careful not to misrepresent any rental property.

    • If a booking is cancelled, a refund is subject to a confirmed re-booking of the premises for the same dates and tariff. If a re-booking of the same premises is made by another party, and the tariff is less than the original quoted rate, then the balance is payable by you. If a re-booking by another party does not occur, a refund of all monies will not be made.

  • For Bookings Made Via 3RD PARTY Platforms (bookings.com, airbnb.com, etc)

    • Cancellations are managed under the Terms and conditions on which the booking is made. Details of those fees are available on the website on which the booking was made.

    • Exceptions to those policies are not within the control of Riverlin and exceptions cannot be accommodated

Unforeseen circumstances:

The booking is made in good faith and may be subject to change. In the event of the premises becoming unavailable to the tenant by an owner decision then we will inform the tenant immediately and endeavour to obtain suitable alternative premises, failing which any monies paid will be refunded in full to the tenant. The tenant will not hold the agent or the owner responsible should any unforeseen event occur and if no suitable alternative premises can be found, and the agent / and owner accepts no liability whatsoever in this regard.

Sale:

In the event the property is offered for sale, the tenant agrees to allow the owner or the agent to inspect the property with prospective purchasers, provided that reasonable notice of an appointment is given. The agent accepts no liability should a property be sold and the booking cancelled. In this event, all reasonable endeavours to find alternative accommodation will be made by the agent.

 

Inspection during your stay:

During your stay, a staff member may require access to the property to inspect maintenance, or for a sales inspection. We will give prior notice and arrange a suitable time for you. If this inspection is required it cannot be refused.

LIMIT OF LIABILITY

  • No responsibility is taken for personal items left on the premises during or after departure. Riverlin does not accept liability for any injury, damage, loss or additional expenses caused directly or indirectly by events, which are beyond our control. Guests are required to ensure all windows and doors are locked when leaving the premises.

  • The guest responsible for the booking hereby authorises Riverlin Accommodation to collect credit card details and to retain those details until the Company Manager or his agent has checked the property after your departure.

  • Breakages or damages not caused by normal wear and tear will be charged to your credit card and an itemised account will be provided to you. If the property has been damaged, whether such damages are wilful or not, it is the sole and absolute discretion of the owner, without reference, to enter a debit on the supplied credit card details of the guest and the guest hereby authorises Riverlin Accommodation to do so. Should you soil any linen or towels to the extent that it cannot be used again, the full replacement cost will be charged to your credit card.

  • Nothing in this agreement shall compromise the rights of Riverlin Accommodation to issue legal proceedings in Victoria or elsewhere, at its discretion seeking damages and/or any claim, that may arise because of the negligence and/or wilful damage of the guests and/or invitees whatsoever. All guests of Riverlin Accommodation or any invitee of a guest who enters the premises are deemed to have agreed to be bound by these conditions.

PAYMENT POLICY

Full payment before arrival of stay is required. We will refuse entry unless funds are paid up-front.

If paying an invoice via EFT, bank details are as follows:

A VALID Credit card is required to secure a booking online. If paying via invoice, the full cost of the invoice is to be paid 3 days prior to arrival or any time within the 5 day non-cancellation period (determined by admin days).

COVID-SPECIFIC CONDITIONS:
Contactless check-in. Rooms are not entered whilst you are staying for mutual safety. Stays of more than 5 nights and we can agree to a safe housekeeping plan, eg supply additional sheets and towels if required. If you come down with Covid during your stay, we ask that you inform us so that we can ensure we limit contact in common areas, such as the main entranceway. This also allows us to inform our cleaners.

Please note that the prices are based on 2 guests. Additional guests are $20pp per night for the cottage and $40pp pn for the Lodge and Retreat. Maximum occupancy is 5 for the Cottage, 12 for the Lodge and 16 for the entire Retreat. (Babies must have a porta-cot and are not to sleep in beds). Please read the TERMS and CONDITIONS before booking - there aren't many but they are important. Located on the ground floor

Insurance:

No responsibility is taken for guests' personal property left on the premises. Landlord insurance does not cover loss/ and or damage to guests' belongings.

Note:

We reserve the right to alter, cancel or change any of these Terms and Conditions as a result of changes in the holiday market, changes in Legislation, or the requirements of property owners, and Body corporate at any time without notice. Breaches of these conditions may result in the forfeiture of your SECURITY BOND, refusal of entry and/or eviction at the discretion of the management. If you are evicted prior to your departure date the balance of your accommodation is NOT SUBJECT TO REFUND.
